30MB (including attachments)

Do you limit the number of emails my organisation can send in a day?

No, although the service is not designed to be used as a bulk sending mechanism.

Can I allow users to open additional mailboxes?

Yes, if somebody has full permissions to a mailbox they can add it to the list of mailboxes to open in Outlook.

Can you redirect mail to multiple users?

Yes using distribution lists, i.e. sales@domain.com could be setup to deliver mail to multiple mailboxes

Can users set a redirect on their own mail?

Yes either the user or admin can control forwarding from the admin control panel

If an employee leaves, can I use their mailbox for someone else?

Yes. You have the ability within your control panel to either change the name on an existing mailbox or delete it from the system and replace it entirely with a new one.

Can I have a copy of Outlook on my work machine and home machine synchronised to the same mailbox?

Yes. Each copy will stay in Sync with your mailbox on our servers.

Software

How do I get the software you provide?

You can simply download the software included in the service, for each user, by logging into your admin control panel and following the instructions.

Do I need any additional software from Microsoft?

The ability for each user to download and connect using Microsoft Outlook or Entourage is included in the monthly price. In addition, each time there is a software upgrade you will be entitled to download the latest version, free of charge.

What operating system do I need to have for Entourage 2008 to run?

MAC OS X version 10.4.9 or later. Users can choose to run Entourage 2004 on MAC OS X version 10.2.8 or later (10.3 for Power Mac G5).

Connecting to the service

How do I connect to the service?

You can connect to the service via a web browser, Microsoft Outlook, Microsoft Entourage, Mac Mail, Active-Sync mobile devices, BlackBerrys or other POP3 / IMAP4 Clients.

How do I access the Instant Messaging part of the service?

You can connect to the service via the Microsoft Office Communications 2007 R2 software client, a web browser or Windows Mobile Device 6.0 or later.

Do I need a VPN to connect to your service?

No. Outlook and Entourage connect to the service using secure SSL HTTPS connections.

Mobile Devices

Can I use mobile devices with your service

Absolutely. iPhones and Windows Mobile devices are supported free using their ActiveSync capability. BlackBerry devices are chargeable per device.

Can I reuse my current BlackBerry Enterprise Server (BES) licences in your environment?

No. The fee for the BES also covers support and cost of the servers. The BES license is only part of what we do. We are also unable to connect our email environment to your existing BES infrastructure

What happens if you have a phone that doesn't support ActiveSync

If the mobile phone does not support ActiveSync then it is possible to use either:

  • Microsoft Outlook Web Access if your phone supports an Internet Explorer browser

  • or
  • Outlook Mobile Access if your phone can utilise a WAP browser.

Do you supply the BlackBerry devices?

No. You must source your own devices and wireless service plan with a mobile provider. The wireless service must be BlackBerry Enterprise Service enabled. In the Admin Control Panel you have the ability to configure users for these devices as required.

Storage

How is mailbox storage allocated?

You are allocated a pool of storage space for all your users’ mailboxes.

How much mailbox storage is included?

Star calculates this space as 2048MB (approx 2GB) per user as standard. In addition you have the ability to purchase storage space in increments of 1024MB (approx 1GB).

Can I manage the mailbox storage per user?

Yes. You can configure the amount of storage space for each mailbox and public folders (if used) via the admin control panel as you wish, within the overall limit of the service ordered.

How is SharePoint storage allocated?

You are allocated a pool of SharePoint storage space for all your users’ mailboxes.

How is Public Folder storage allocated?

The amount of storage that Star allows you to use for the purpose of public folders is equivalent to 500MB per user subscribed to the service. Up to 1,000 public folders are supported with a maximum of 2GB per folder. Each public folder will have a storage quota that you can configure as needed via the control panel which will count against the overall storage ordered.

Backup/Restore

Can I get restores of mail from your backups?

Star takes regular backups to protect against failure of the environment and not for customers to restore individual mailboxes. To offer protection against users accidently deleting mail, items are retrievable by the user up to 45 days after being deleted from the deleted items folder. Whole mailboxes can also be restored if deleted by the administrator up to 45 days after deletion.

Security

How secure is the environment? Is it SSL?

Yes, email access via Outlook and Outlook Web Access is via SSL.

What about spam and virus protection – do we continue with a desktop scanning solution?

Star Business Email comes complete with Email Anti-virus and Anti-spam scanning powered by MessageLabs, therefore if you already have any email virus and spam scanning it can be cancelled. We recommend keeping a desktop virus scanner in place to protect against any infection via removable media.

SharePoint

Do previous document versions take up space from the SharePoint allocation?

Yes they do but these versions can be restricted in a number of ways. Versioning can be enabled or disabled per folder, and if enabled it is possible to limit the number of major and minor versions that are retained.

Could external users subscribe to RSS on SharePoint site without having a mailbox?

No this isn’t possible; access to the SharePoint site requires a mailbox.

Instant Messaging & "Presence" information

Is my organisation protected from IM security threats?

The IM part of the service is protected by Microsoft Forefront security. IM content and IM-based file transfers are scanned by multiple scanning engines from industry-leading security partners.

Admin Control Panel

What tasks can I perform using the admin control panel?

Using the administration control panel you can create and remove mailboxes, set storage limits for users, create distribution lists (i.e. sales@domain.com), set up mail forwarding and manage additional services such as IM and SharePoint.

The Platform

Does the service use mailboxes/resources on shared servers or does each user have their own virtualised servers?

It is a multi-tenant environment that has been built from the ground up with resiliency and security in mind and uses Microsoft Active-Directory to logically separate one customer’s data from another. All elements of the infrastructure are either duplicated, clustered or both to allow for protection against failure and optimum performance together with offering ease of expansion.

Will my users have to authenticate separately or is the service integrated to my LAN?

Users will need to have separate authentication to access this environment; there is no integration with local Active Directory. Administrators can quickly and easily create and amend usernames and passwords from the control panel.

Service and Support

What Microsoft accreditations does Star have?

Star works very closely with Microsoft both at a strategic and technical level. Star is one of only a select number of accredited Microsoft Communications Services partners in the UK, delivering both hosted Exchange and hosted Office Communications Server based services. This rigorous accreditation requires qualified engineers, robust processes and a number of customer references alongside the technical integration of the complete set of Microsoft communications services. We are hosted services innovators and have developed a compelling roadmap of innovative technology to support your businesses communications needs now and in the future.

Do you provide desktop, LAN and client software support?

Star manages and supports the Exchange and Office Communications Server environment as well as the admin control panel. Star does not provide support for end users utilisation of mail clients (such as Outlook 2007), LAN or desktop configuration. Star can recommend organisations that can carry out these services.

Migration

What are the stages involved in implementation?

  1. Star work with you to configure your mail to route through MessageLabs infrastructure onto your existing mail server. Email is still sent outbound directly to the Internet. If you already take the MessageLabs services, either with Star or separately, we will work with MessageLabs directly to ensure a smooth transition of those services to Star Business Email.
  2. Your new account is set up and you gain access to the admin control panel
  3. You then setup, with Star’s assistance if required, users, contacts, distribution lists and public folders as needed.
  4. You create a new Outlook profile to connect to the Star Business Email service.
  5. You instruct us when you are ready to go live
  6. Mail traffic then flows from MessageLabs to the Star email platform.
  7. Once it has been established that email is no longer being received by your old system, you can then start using your new profile and archiving historic email as a .pst file.
  8. Your .pst archive can then be kept locally or dragged into the new Exchange environment inbox.

Star will provide email and phone support to aid your migration to the service.

I want to stop the service with Star. How do I get my data back?

You have the ability to download all mail messages to a local machine(s) through Outlook. Should you wish Star to put your data on storage media and send it to you this will incur an hourly charge.
